What is the AutoSubscription Addin for Outlook?

AutoSubscription allows you to create number of mailing lists to which people can subscribe and unsubscribe without any manual action on your part.

Typically larger companies use expensive web servers and IT departments to do this... but not any longer!


How does it work?


This diagram shows how AutoSubscription works:

  1. Users can join you group by emailing a special account you set up with your mail provider. Most ISP's allow you a number of email accounts. Create a new email account - something like news@yourhost.com.au. AutoSubscription allows you to manage multiple lists using the one account. You give each one its own name (see Creating a Group for details). Users subscribe to one of these by emailing your account with a mail whose subject is "SUBSCRIBE YourList" where YourList is the name you gave your mailing list.
  2. When you receive this request in Outlook with AutoSubscription installed, it automatically adds or removes the user from the mailing list.
  3. Whenever the list is changed, you can share the updates with other computers with AutoSubscription and Outlook installed.
  4. The user gets a mail back confirming their subscription, and also giving instructions should they wish to unsubscribe at some time in the future.

Is it only for Clubs, Charities, Small Businesses, Churches?

If you run a small business or charity and don't have a dedicated mail server or an IT department - then AutoSubscriptions can certainly work for you.

However if you are a project manager or team leader in a larger organisation you may also find AutoSubscription useful. If you have ever been frustrated while waiting for team members to be added to corporate mailing lists by you IT department, then Autosubscription can give you back control of your mailing lists.


How do I install the AutoSubscription Addin?

  1. Click on the download link to start the installer.
  2. Run setup.exe to start the installer.

How do I create a new Mailing List?

For each group you want to add, create a new folder under the special AutoSubscription folder (shown below). The name of the folder is the name of your group.

How do people subscribe to the group?

They simply email your account with the subject line like this:
SUBSCRIBE TheGroupNameYouChose
When they arrive in your inbox, they get automatically moved into the group folder you created to set up the mailing list. The sender of the mail gets a reply saying that they have been added to the list.

In the background AutoSubscription Addin creates a Mailing List in your Contacts folder with the same name as your group folders.

How do I remove someone form the group?

Simply remove their subscription request email from the group folder under the AutoSubscription folder.

During the trial period you will be reminded to register, and all subscription messages will note that you are using an unregistered copy of AutoSubscription.


Can more than one person access the groups?

Good Question! The Answer is Yes. Although one central machine maintains the list and processes incoming requests, it can then broadcast updates to other computers which then update the local lists in their Outlook Contacts folder.

Setting this up is also pretty easy. Simply create a sub folder called "Share" under the group you wish to share and move the emails from the people you wish to receive the updates into that folder. (People who get updates must have subscribed first)

Can members be manually added to a group?

Well, actually you can do that out of the box with Outlook. Its a good idea to keep your manually administered groups from those managed by AutoSubscription. Outlook allows you to have groups of groups. You then edit your manual group, and leave the AutoSubscription to do its magic.
